Terms and Conditions

[Version 1 – Effective as of 4 August 2025]

  1. INTRODUCTION

Welcome Rewards”, is Welcome Pickup's (the "Company" or "Welcome Pickup", “We”, ‘Our”) loyalty program (the "Welcome Rewards Program", the "Program"). These terms and conditions of participation in the Welcome Pickups Rewards Program (hereinafter and for the purposes of this section the "Welcome Rewards Terms", or the "Terms"), are addressed to you as a Traveler that you have booked a Ride & use the Program (hereinafter the "Member", “Traveler”, “Your”) and constitute the contract between the Company and the Members in respect of their participation in the Program. 

These Terms constitute an integral part of the GENERAL TERMS & CONDITIONS OF USE OF THE PLATFORM & THE SERVICE UNDER THE TRADE NAME «WELCOME PICKUPS» FOR TRAVELLERS (collectively, the “General Terms”).

By submitting a booking for a Ride through the Welcome Pickups Platform, You expressly acknowledge that You have read, understood, and accepted the General Terms, and simultaneously you accept these Terms in full. Your booking shall be deemed to constitute Your unconditional enrollment into the Program and acceptance of its rules and all related terms.

Should You disagree with any provision hereof, You are advised to refrain from any booking Ride & participation in the Program and notify Welcome Pickups immediately.

Changes to the Program: Welcome Pickups reserves the right, at its sole discretion and at any time, to modify, suspend, or terminate any aspect of the Rewards Program, in whole or in part. This includes, but is not limited to:

  • amending these terms and conditions;
  • altering eligibility criteria;
  • changing the type, nature, or value of rewards offered; or
  • unilaterally modifying, renewing, deleting, adding to, or limiting these Terms, either at its discretion or as required by applicable law.

Any such changes shall take effect from the date they are published on the Platform or as otherwise specified. You will be notified of material changes to the Program by email or by a notice/communication via the Platform. Any use of the Rewards Program following the effective date of any changes shall constitute your unconditional acceptance of those changes. Changes shall not affect any orders, purchases, or other uses of the Program made prior to the effective date of the changes. If You require clarification or have any disagreement, reservation, or query relating to the changes, You may contact Welcome Pickups’ Customer Support Team before using the Program again.

In the event of the termination of the Rewards Program, any rewards that are valid and unexpired at the time of termination shall remain redeemable for a period of twelve (12) months from the date of termination. Welcome Pickups will make reasonable efforts to provide advance notice of any material change or termination of the Rewards Program.

"Termination of the Rewards Program" shall mean either (i) the permanent or temporary discontinuation of the Program by the Company for all users; or (ii) the termination of a specific user’s participation, due to account deletion, or breach of applicable terms

The Welcome Pickups Rewards Programme is addressed exclusively to individuals over 16 years of age with the necessary legal capacity to enjoy its benefits. The partners, shareholders, directors, managers or owners of the entities affiliated with the Company, the Company's Group and its companies, as well as their relatives up to the second degree of kinship (spouses, children, brothers, sisters, parents) as well as the employees of these outlets, are not entitled to acquire or maintain a Member status during the entire period of validity of the cooperation of their business with the Company.

The Welcome Pickups Rewards Programme is intended solely for individuals/ natural persons and excludes all legal entities, business partners, travel agents, tour operators etc., or any individuals acting on their behalf.

Member Accounts are strictly personal and, therefore, it is prohibited to transfer or share in any way the Account or the Rewards accumulated by the Member. Benefits may not be transferred to a third party.

You may delete your Member Account by ]sending an e-mail to [email protected] . In the event that you delete your Account, your member Number will no longer be valid, the points you have accrued will be deleted and you will not be able to use the Benefits and Points you have accrued up to that point. Any re-enrollment in the Program will result in receiving points and Benefits from your point of enrollment onwards

  1. PROVISIONS-TERMS OF THE PROGRAM

  1. Welcome Pickups Rewards

  1. The Welcome Rewards Program is a loyalty initiative designed to reward Members for their continued use of Welcome Pickups' services. By participating in the Welcome Pickups Rewards Program, Members agree to abide by these Terms & Conditions, which govern the earning, redemption, and expiration of rewards.
  2. Participation in the Welcome Pickups Rewards Program is offered free of charge. Membership is granted automatically upon the completion of at least three (3) rides booked through the Platform, at which point the user shall be enrolled at the first level of the Program and become eligible to earn rewards. Membership, rewards, and any other benefits or rewards under the Program are strictly personal, non-assignable, and non-transferable, and are associated exclusively with the specific Account through which participation was effected.
  3. Τhe Rewards Program comprises different “Reward Levels,” determined by the number of completed Rides within a rolling twelve (12)-month period starting  from the date on which the Traveler completes their second eligible ride, which marks their automatic enrollment in the Rewards Program. Each Level confers distinct benefits. In particular:

  • Level 1 is attained upon completion of two (2) Rides within a twelve (12)-month period. Benefits of Level 1: (i) 3% cashback per transfer credited as points for future bookings; and (ii) five (5) € for each referral;
  • Level 2 is attained upon completion of five (5) more Rides within a new twelve (12)-month period which starts when a user enters Level 2. Benefits of Level 2: 

(i) 6% cashback per transfer credited as points for future bookings; (ii) ten (10) € for each referral; and (iii) free cancellation up to 24 hours before pickup;

  • Level 3 is attained upon completion of seven (7) more rides within a new twelve (12)-month period which starts when a user enters Level 3. Benefits of Level 3: (i) 8% cashback per transfer credited as points for future bookings; (ii) ten (10) € for each referral; (iii) free cancellation up to 24 hours before pickup; and (iv) priority support chat via our Application (response within 30 minutes).

  1. Sightseeing rides and any other excluded service categories, as designated by the Company from time to time in the General Terms and Conditions, do not qualify for progression within the Rewards Program and shall not generate any rewards.
  2. The Company retains the right to investigate any suspected case of fraud, abuse, or misuse of the Rewards Program. In such cases, the Company may, at its discretion, suspend or terminate the relevant membership, and any rewards earned up to that point may be forfeited without further notice.

  1. Reward Credits 

  1. The Company may, at its sole and absolute discretion, award Member reward credits, subject to (a) these Terms and Conditions, and (b) any specific individual reward criteria applicable from time to time. In the event of any clerical, administrative, or currency conversion error in the calculation or display of Member’s reward credits, the Company reserves the right to amend or correct any balances at any time without prior notice.
  2. Reward credits may be accrued through the following means:

         (a) As part of promotional campaigns. The quantity or value of reward credits awarded shall depend on the specific terms and conditions of each campaign. We will provide details regarding the accrual and use of reward credits at the commencement of each relevant promotion.

         (b) By participating in our Rewards Program. In this context, reward credits may be earned by booking and completing eligible Rides with Welcome Pickups. The amount of reward credits earned will depend on (i) the total cost of the completed Ride, (ii) the number of eligible completed Rides within a rolling twelve (12) month period, and (iii) the applicable reward level achieved.

  1. For the purposes of these Terms and Conditions, an Eligible Ride shall mean any completed and paid ride booked directly through the Welcome Pickups Platform (including via the website or mobile application), excluding:

  1. Sightseeing tours or rides that are classified as non-transportation or leisure experiences,
  2. Rides cancelled by the Traveller or by Welcome Pickups (regardless of the reason for cancellation), 
  3. A ride shall not qualify as an Eligible Ride where it is not completed because the Traveler failed to appear at the designated pickup location by the end of the complimentary waiting time.
  4. If a ride is cancelled because the Driver failed to arrive at the scheduled pickup time, such a ride will qualify for the purpose of level progression within the Rewards Program, but no monetary credit, benefit, or reward of any kind shall accrue in relation to that ride.
  5. Rides booked through third-party platforms or partners, unless expressly stated otherwise in the applicable promotion or program terms.

     An Eligible Ride must be completed in full, with payment successfully processed, in accordance with the Welcome Pickups General Terms.

  1. If and when you are granted any Rewards (including but not limited to credits, benefits, or discounts), such Rewards will be credited to your Account upon booking your first ride through Welcome Pickups. You may access and manage these Rewards by logging into your Account via the Profile section. Should any action be required on your part to qualify for or claim a Reward, we will notify you through Account notifications, push notifications, and/or email communications. All applicable terms and conditions related to the use, redemption, or expiration of Rewards will be provided at the time the Rewards are credited.

  1. Nature of Rewards

Rewards may include credits applicable to eligible bookings, free cancellations, referral program upgrades, or other promotional benefits as determined solely by Welcome Pickups. Rewards have no cash value and are non-transferable. Any specific terms or requirements applicable to receiving or using a reward will be communicated to a Member in due course.

  1. Storage of Rewards

All Rewards will remain associated with your Account until redeemed or expired pursuant to their terms. Your Account will reflect the total available balance of Rewards eligible for use on qualified rides. You will also have access to detailed records indicating when each reward was earned, granted, and its expiration date.

  1. Right to Audit

We reserve the right, at any time and without prior notice, to audit any accounts participating in the Rewards Program. Such audits may be conducted to ensure compliance with these Terms and Conditions, to detect or investigate suspected fraud, misuse, or abuse, and to protect our legitimate interests. We retain the right to suspend or revoke rewards or terminate participation in the Program where violations or irregularities are found.

  1. Eligibility

In order to qualify for, receive, and redeem any form of reward (including credits, benefits, or discounts), You must, at both the time of qualification and redemption:

  • hold a verified and active Account with us;
  • satisfy the applicable individual reward criteria as per these Terms;
  • remain in compliance with the Welcome Pickups General Terms and Conditions; 
  • have a valid and accepted payment method registered in your Account.

The applicable individual reward criteria for each reward will specify the conditions under which You may earn or redeem the reward. Such criteria may include, but are not limited to:

  • time limitations (e.g., offers with specified expiration dates);
  • Platform-specific requirements (e.g., promotional codes usable only via our app);
  • minimum spend thresholds (e.g., a reward available only upon meeting a defined minimum spend); and
  • maximum value limitations (whether monetary or non-monetary).

  1. Use of Reward Credits 

    1. Any available reward credits or promotional value may be applied toward the cost of an Eligible ride, up to the total value of the credits available. Only one voucher, credit, or other promotional offer may be applied per booking of a Ride. Where multiple offers or credits exist within an Account, their values may not be combined toward a single booking of a Ride.
    2. If the cost of the Ride is less than the total available credits, any remaining unused credits will continue to be associated with the Account until redeemed or expired, subject to the specific terms applicable to each Reward.
    3. If the cost of the Ride exceeds the value of available credits, Traveler is responsible for paying the outstanding balance using a valid payment method prior to the Ride. Failure to do so may result in the booking being cancelled, and any credits applied will be reinstated to the Account in accordance with the General Terms, including any applicable expiry dates.
    4. Where multiple credits of the same type are available, the credit with the earliest expiry date will be automatically applied first during the payment process.

  1. Cancellation, Expiration

  1. If a Member cancels a Ride that has been paid for in whole or in part using any rewards credits, whether monetary or otherwise, the applicable cancellation policy as per the General T&Cs will determine whether any payment and/or rewards are refundable. Any refundable rewards will be credited back to the Account in accordance with these Terms. Company’s Customer Support Team may assist in processing any such refunds.
  2. The default currency applicable to rewards shall be determined based on Member’s location, residency, or another currency We may designate at our discretion. Should any rewards be issued in a currency other than your default currency, we reserve the right to convert such rewards using the currency conversion rate determined by us at the time of conversion.
  3. If a Member believes they are entitled to a reward that you have not received, they must notify our Customer Support Team within twelve (12) months from the date on which they believe they became eligible for such reward and they must provide all supporting documentation requested. 
  4. Failure to do so within this period shall result in Your claim being time-barred, and no such reward shall be granted.
  5. All rewards credits are subject to expiry in accordance with the terms in the Τraveler’s profile section under each reward or as otherwise notified by the Company through any appropriate means, including but not limited to email or notification in the Platform.. The expiry date will be made available in your Account. We may, at our sole discretion, send reminders via email or push notification regarding impending expiry of rewards, but the Company is under no obligation to do so.

  1. Account and Data Obligations

  1. All data, including personal data, shall be processed in accordance with our Privacy Policy and applicable data protection laws and regulations. Lost, stolen, or expired rewards will not be replaced or reinstated under any circumstances.
  2. Member is solely responsible for:

  • ensuring that all personal and account information provided is accurate, complete, and up to date at all times;
  • safeguarding Account credentials and ensuring their confidentiality, so as to protect rewards and any associated credits or benefits.
  • any breach of these obligations may result in the suspension or termination of  participation in the Program and the cancellation of any unredeemed rewards credits.

  1. Other benefits

From time to time, the Company may introduce additional benefits or incentives for Μembers of the Rewards Program. The availability, terms, and conditions of such benefits shall be determined solely by the Company at its discretion and may be amended or withdrawn at any time without prior notice.

Free Cancellation Benefit (Levels 2 and 3)

As a Level 2 or Level 3 Member in the Rewards Program, You are entitled to free cancellation on eligible Rides. This means You may cancel Your booking up to twenty-four (24) hours prior to the scheduled pickup time and receive a full refund to your original payment method. No cancellation fees will apply. This benefit is designed to provide Travelers with added flexibility and peace of mind when managing travel plans.

  1. Referral Reward

  1. Eligibility and Participation

Each registered Member shall be provided with a unique referral link accessible via their Account. This referral link is intended solely for sharing with individuals who have not previously booked a Ride with Welcome Pickups (“New Users”). Both the referring Member (“Referrer”) and the New User shall be eligible to receive a referral reward subject to the conditions set forth herein.

  1. Referral Reward Mechanics

Upon the New User’s successful completion of their first eligible Ride with Welcome Pickups, the following rewards shall be granted:

  1. The New User shall receive a credit amounting to €5, applied as a deduction on their first Ride.
  2. The Referrer shall receive a referral reward calculated based on their Level as follows:

  1. No Level / Level 1: €5 credit
  2. Level 2: €10 credit
  3. Level 3: €10 credit

  1. Redemption and Expiry

Referral rewards shall be automatically applied at checkout against the cost of eligible Rides. Referral credits shall expire twelve (12) months from the date of issuance if unused.

  1. Combination with Other Rewards

Referral rewards may be combined with other rewards, discounts, or benefits offered by Welcome Pickups, subject to applicable terms and conditions and based on the Referrer’s Level..

  1. Restrictions and Limitations

Referral rewards cannot be combined or used in conjunction with any other coupon codes unless otherwise permitted as described in Section 11.4. Also they are non-transferable, non-assignable, non-sellable, and shall not be redeemable for cash or other monetary equivalents.

Referral rewards may not be claimed by the Referrer and New User if they are the same individual or if multiple accounts are used to artificially generate rewards.

  1. Fair Use and Misuse Prevention

Referral links must be shared for legitimate personal use only, such as with friends, family, etc. The use of referral links in public coupon websites, blogs, social media posts, or by employing automated or spam methods to generate referrals is strictly prohibited.

Welcome Pickups reserves the right, at its sole discretion, to investigate suspected abuse or fraudulent activity relating to the referral program. Accounts found to be in violation of these terms may be subject to suspension, and any associated referral rewards may be revoked without prior notice.

Members are strictly prohibited from creating, using, or distributing any fraudulent, misleading, or fake referral links. Any attempt to manipulate or abuse the referral program, including but not limited to creating multiple accounts, using false information, or engaging in other fraudulent behavior, will result in immediate forfeiture of rewards and possible suspension or termination of the participant’s account.

The Referrer confirms that they have obtained the explicit consent of the referred individuals to share the link in accordance with the Company’s Privacy Policy and applicable data protection laws (such as the GDPR). The Referrer agrees not to use the referral link for unsolicited communications or spam.

The Company processes personal data collected through the referral program in compliance with its Privacy Policy and applicable laws. Both Referrers and referred Friends acknowledge and agree that the Company may use their data to administer, improve, and operate the referral program.

The Company shall not be held responsible for any technical issues, delays, or interruptions affecting the operation of the referral program. Any disputes arising from the referral program shall be governed by the Company’s terms of use and the applicable laws of the Company’s jurisdiction.

  1. Final Provisions

          Please note that the Company reserves the right to unilaterally change the rewards system, to withdraw certain benefits, to set limits on the rewards that can be collected per Member and per transaction, to vary the tiers and the way of redemption, following the provision of notice in advance, if necessary, as well as to cancel any promotions that award points, to limit, suspend or completely cease redemption of rewards at its sole discretion, and in any case unilaterally. Furthermore, it reserves the right to suspend and/or terminate the Program at any time and unilaterally, without justification and at its sole discretion and without notice, but always after providing proper information and instructions on how a Member can redeem their rewards.

           If you have already earned rewards or a benefit that you are no longer able to use, we will provide you with prior notice of your options, either through your Account or by posting on our Platform, via e-mail, should this be deemed necessary. Otherwise, the Company is not obliged to provide any notification if, in its sole discretion no longer wishes to maintain or wishes to remove or alter the rewards system. The Company is also entitled to suspend the use of the Program by a Member for reasons relating to the suspicion of unauthorized or fraudulent use, etc. Please note that in such cases, the rewards accumulated by the Member will be permanently deleted. The Company has the right to take action to delete/deactivate the Member due to consistent non-compliance with these Terms and/or general misconduct within the framework of the overall transactional relationship, as well as in the event of bankruptcy, liquidation or compulsory administration, cessation of operations and in the event that the Member's legal capacity has ceased to exist, in which cases the available points will be permanently deleted from the Account. It is hereby expressly agreed that the Company has the right to suspend Members' participation in the Program, and in particular the collection of points, until the limits that allow the continuation of the Membership are restored.

          The Company reserves the right to refuse to award rewards to a Member without prior notice if the Member violates these Terms or the law. 

          You agree to maintain the confidentiality of your Account and your passwords used to access it and agree not to allow other persons to use your login details, your name, your contact details. You are fully and solely responsible for any action (act or omission) taken through your Account. The Company disclaims any liability for losses arising in general (including to any third party) from your participation as a Welcome Pickups Rewards Member or from bookings made from your Account due to unauthorized access or use of it, if you have not previously notified the Company appropriately in our contact details. Please note that any action taken through your Account will be reasonably regarded by the Company as your own actions.

          The Company reserves the right to delete your Account for good cause, such as when there is an indication of bad faith, illegal use or use in breach of the Welcome Pickups Rewards Terms or the Terms & Conditions of the Website or of the process / system for awarding, use and redemption of points and Benefits. In this case, the Member's Account and points accrued will be deleted and participation in Welcome Pickups Rewards activities will be suspended. The Company reserves the right not to allow the same person to be re-registered as a Member of the Program if it becomes aware that the person has been deregistered for any of the above reasons in the past.

         The Company reserves the right to discontinue the Program at any time, providing prior notice to the Members either through their Account or through the means of communication they have indicated, except if the Program is discontinued for reasons of force majeure.

Intellectual Property: The Program is the property of the Company and is protected by copyright law. The Company grants you permission to browse the pages dedicated to the Program and to print or download copies of the material posted thereon for your personal, non-public, non-commercial use only, provided that you do not remove any copyright or other proprietary notices appearing on the material you print or download. You agree that you will not copy, display or otherwise transmit any material from the relevant page in any medium or manner. You also agree not to modify, sell, transmit or distribute any material from the Welcome Pickups Rewards pages in any manner or means, including by uploading the material or otherwise making the material available on the Internet. In any event, the content and all information irrespective of its nature posted on Welcome Pickups Rewards and accessed by you is provided for your information only and should not be construed as qualified advice or solicitation to act. You access the content posted and use the relevant features at your own initiative. Welcome Pickups Rewards bears logos and other trademarks that are the property of the Company or affiliated companies under license. You agree not to use or display them in any way without the written permission of the respective trademark owner.

You are responsible for any damage or artificial interruption arising or caused by you to the pages hosting the Program within the Website or its transmission systems.

You must refrain from any use of the Welcome Pickups Rewards Program, its rewards and benefits and the Platform in any way that is unlawful, profane, abusive, offensive or obscene. Your participation and use of the Program are only permitted so long as you act lawfully and fairly while not taking any action that causes or is likely to cause damage to or unfair exploitation of the Company. In addition, creation of any link that implies any relationship between you and the Company is prohibited. In any case, you are required to notify us at the Company's contact details above if you become aware of or suspect or have any indication of any illegal or unlawful use of the Welcome Pickups Rewards page.

You hereby agree to indemnify, defend and hold harmless the Company and the parties involved from any third-party claim or damage arising out of your breach of any of these Terms. 

The Company shall not be liable to you or any third party for any breach of these Terms or of the law if it is due to your negligent act or omission or any failure to inform the Company in time; we reserve the right to take action against anyone responsible for causing any damage to the Company or because of or on account of the foregoing.

To the fullest extent permitted by applicable law, you understand and agree that the Company is not liable for any direct, indirect or any other damages arising from the use of Welcome Pickups Rewards.

We make every effort to ensure that your information in your Account is true, accurate and up to date; however, the Company is not responsible for any error that may occur in its display or for the suitability or timeliness of updates communicated to you and the time at which you become aware of them. As Members, you are fully and exclusively liable for any loss or damage suffered by the Company as a result of any incorrect, inaccurate or out-of-date information provided by you.

The Company has implemented appropriate technical measures for the proper maintenance and availability of Welcome Pickups Rewards; however, the Program's availability may be affected by the Members' equipment, the condition of their networks, the upgrade of their software or other causes and therefore may not work well or at all. You will be notified of any temporary interruption to upgrade Welcome Pickups Rewards.

These Welcome Pickups Rewards Terms constitute the contractual document between us and shall be governed by and construed in accordance with the laws of England & Wales. By accepting these Terms, the Member and the Company agree to be subjected to the exclusive jurisdiction of the courts of the city of London.

If any term is found to be invalid or abusive, it shall not affect the validity or interpretation of the resto of the terms, that shall remain in force and binding on you and the Company. Any delay by either party in exercising some or all of their rights under these Terms shall not have an effect on be considered a waiver of that right, which may be exercised at any time at a later date and at the reasonable discretion of the party entitled to exercise it.
